APPLICATION: When you schedule tasks you have different options for sending them forward to POS and itineraries, as well as ways to set up the frequency of creation of a certain task. The tables below explain the effects of the options of the field Send tasks to, on the Task scheduling functionality. REQUIRED READINGS: Scheduling Tasks, Creating task schedulings |
Forward tasks to: | How does it work? | When does the system create the task? | When should I use it? | If two employees visit the same POS, who gets the task? |
All POS selected | The system will create tasks for all points of sale selected (step 2 of the scheduling), including those which aren’t on the itinerary. The tasks will then remain unassigned until the moment an employee checks in to a POS. |
At 12:30 Am. | For monthly, biweekly and weekly tasks. It’s recommended in cases where itineraries are constantly being altered. |
If two or more employees have scheduled visits to the same POS, the task will be forwarded to the first employee to get the POS on their itinerary. If the POS is added via App, the first employee online to add the POS, and check in, will get the task.
|
Only POS with itineraries | In this option Involves Stage will automatically check which POS are on the scheduled itineraries within the deadline of the schedule and will only create tasks for these itineraries. If a POS is added to the itinerary during the day, the POS will not have a task added to it. |
At 12:30 Am. | For monthly, biweekly and weekly tasks. It’s recommended for scheduled itineraries and in cases where itineraries are not constantly altered. |
If two or more employees have scheduled visits to the same POS, the task will be forwarded to the first employee to get the POS on their itinerary. |
Selected itineraries | Here, instead of selecting the POS you need to select the exact itinerary for which you want to create a task. | At 12:30 Am. | For daily tasks Recommended for defining which sales rep will get the task in cases of two or more employees with the same POS on their itineraries. |
All selected employees. |
All Itineraries | The system will generate tasks for all itineraries. Considering that the task is created at 12:30 Am, if the itinerary is altered during the day, the POS will not receive the task. | At 12:30 Am. | For daily tasks. | All employees |
All Itineraries + Mobile Scheduling: |
The only forwarding option that allows you to perform Mobile Scheduling. When you combine all itineraries with mobile scheduling the system will not create a task on the WEB platform at 12:30 Am. The task will be created on the employee’s app when he/she checks in. |
The moment the field employee checks in. |
For daily tasks. Recommended for itineraries that are constantly changed during the day or for operations taking place in areas with low data coverage. |
All employees. If the same employee returns to the POS on the following day and checks in again, the system will create a new task within the same schedule. |
NOTE! Remember that the information on the When does the system create the task? column refers to the default time, considering time zone variations. The current time zone list on Involves Stage follows the GMT standard. |
