After creating your survey forms you need to schedule the tasks. You must schedule tasks in order to send the forms for the field team to fill out as they perform their activities. Involves Stage allows you to create two types of tasks: Scheduled tasks and Single tasks.
Scheduled tasks are those that happen periodically. You can set them to be automatically repeated by the system. For example, if you want the field team to conduct weekly price surveys on products A, B and C on the X, Y and Z chains, scheduling the survey tasks so the system will repeat them automatically is the optimal choice.
Single tasks, on the other hand, are nonrecurring tasks used for more specific surveys. Imagine following scenario: your competition launches a new package for their product and your marketing team needs a photo as soon as possible. If their new packages are only available on chains X, Y and Z, you may create a single task that will be sent to field team members who have the X, Y and Z points of sale on their itinerary.
There are many options in the Task Scheduling function besides creating new schedules. Follow Menu > Surveys > Task Scheduling. See how they work:
DUPLICATE SCHEDULE
You can duplicate a scheduled task with just one click on Duplicate Scheduling. The function speeds up the process f creating and editing new tasks. When you click on Duplicate, a new identical task is created as (Duplicate) Name of Schedule. You can easily edit the name.
REPLACE TASK RECIPIENT
The function Copy recipients makes a copy of the POS selected from an existing schedule, making the process of scheduling new tasks much faster. In order to do that:
- Click on a schedule to select it;
- Click the Copy recipientsbutton;
- On the pop-up window, select the task from which you want to copy information;
- Then, click on Copy;.
- Wait for the confirmation message.
Note When you synchronize the points of sale from another schedule, the POS you have already entered will be replaced and cannot be restored. Learn how to copy in details. |
SCHEDULING STATISTICS
The statistics show information regarding the total of tasks created and also the percentage of repeated, expired and pending tasks. To access the statistics click on the name of the schedule and then the Tasks createdbutton.
The new page will show you the task data. Mouse over the description next to each task to view their status.
Note The tasks will only be visible on this screen when the system is running them, that is, from the date you created them and during the cycle you define during scheduling. For example: if on November 26 you schedule a daily task for November 30, the task will only be visible on this screen from the 30th on. |
When you select a task you can also view its information in details.
