Overview of check-in and check-out

Upon arriving at a point of sale, the field employee must perform the check-in and, upon completing the visit, perform the check-out.

Involves Stage records entries and exits in two ways, facilitating visit monitoring by back office:

  • Manual check-in and check-out, performed via the app
  • Automatic recording through geolocation (GPS)

Manual registration

Manual registration is done directly by the field employee in the Involves Stage app.

How manual check-in works

  • The employee accesses their route in the app
  • Selects the point of sale (POS)
  • Performs the manual check-in

It is possible to configure the requirement of a photograph to confirm the check-in, in the access profile permissions for mobile devices.

The app features a check-in area, which identifies whether the employee is inside or outside the allowed area to register entry at the POS. By default, this radius is 200 meters.

Attention: It is possible to activate check-in blocking for employees who are outside the allowed radius, preventing errors and fraud.

How manual check-out works

  • The employee presses the Exit button next to the POS name
  • The check-out is recorded in the system

It is also possible to configure the requirement of a photograph to confirm the check-out.

If any activity remains pending at the POS, the system sends a notification to the employee.


GPS registration

All entry and exit records made through the app are automatically validated by geolocation (GPS).

This registration:

  • Is automatic
  • Does not interfere with app usability
  • Ensures double validation of the visit

GPS check-in

The system validates, within a five-minute period, the existence of two GPS points captured within the store’s radius and with good accuracy. This validation is done based on the first GPS point captured after the manual check-in.

For the registration to be validated:

  • The device’s GPS must be turned on
  • The POS must be correctly geolocated

GPS check-out

This is an automatic validation that occurs after the manual check-out and considers the first GPS point captured with good accuracy outside the POS radius.

By default, the distance radius is 200 meters, which can be adjusted according to the operation’s needs.

Important: The effectiveness of GPS registration depends on proper operational planning. 

For example: if the POS is located at the entrance of a mall and is geolocated in a spot far from the actual visit point, outside the GPS radius, the registration will not be correctly performed.

GPS data is also used in operation monitoring through the Status Day feature.
